Job Overview

The Solar Academy Administrator is responsible to plan and execute the daily operational tasks for the Solar Academy, while working together closely with the Director of Solar Academy. The Solar Academy Administrator must ensure the smooth running of daily classes and special projects of Solar Academy, including the preparation of monthly reports and routine administrative works.

What do I need?

Preferred Experience and Knowledge

  • Diploma in Administration/Management/Human Resource Management or any relevant field of studies.
  • Posses a type D or DA driving licence
  • Minimum of 1-2 years working experience in Administration/Management/ Coordination roles.
  • Working knowledge and implementation of Google Suites, computers and current communication technology as work tools.
  • Good proficiency in English and Malay is essential (oral and written);

Necessary technical, functional or language skills

  • Must have the ability to report to work on a regular and punctual basis, despite working on a flexible schedule;
  • Passionate in community development and management in both individual and wide community intervention;
  • Excellent people and community skills;
  • Ability to establish and maintain a cooperative and effective working relationship with others;
  • Understanding of Solar Academy values, principles and objectives and demonstrated ability to put them into practice in the workplace;
  • Proven ability in the areas of organization skills, conflict resolution, advocacy and group facilitation;
  • Ability to work independently, as well as part of a multidisciplinary team;

What will I do?

Administration

  • Work closely with the Director of Solar Academy on the daily administration of the Solar Academy;
  • Organize, coordinate, and schedule meetings or events;
  • Coordinate the flow of information both internally and externally;
  • Communicate effectively verbally and in writing with a group of staff and students;
  • Develop templates (e.g forms, surveys, reports) for data collection;
  • Perform general clerical duties such as photocopying, filing, bookkeeping and data entry;
  • Coordinate maintenance of office equipment and managing supplies;
  • Provide support in preparing meticulous and detailed reports;
  • Liaison with internal and external contacts;
  • Answer inquiries and provide the requested information;
  • Any other necessary tasks as requested by the supervisor.

Recruitment

  • Interview and recruit eligible students for the solar academy admission;
  • Welcome and onboard new solar academy students;
  • Meet orphanages and other NGOs to find for eligible students;
  • Look for employment opportunities for students who have completed the programme.

Logistics and Transportation

  • Prepare an inventory for donated food and distribution of goods;
  • Keep track of inventory and ensure procedures are being followed properly;
  • Assist in local and nationwide logistics coordination- liaise with other companies and organizations for donation pick ups or donation deliveries;
  • Prepare a transportation schedule for the movement of students during their practical period;
  • Support in sending students to specific venues according to the practical requirements using vehicles provided by the Solar Academy:
  • Support the supervisor in developing and implementing operational policies.
